‘Yalukit Wilam Ngargee’ is a family friendly Indigenous music festival that kicks off the beginning of the St Kilda Festival program.
 
YWN09 will showcase Aboriginal and Torres Straight Islander artists and small business to the wider community, while joining together to celebrate and remember the history of the land on which we live.
 
We are particularly interested in applicants who have an environmental, organic or recycled ethos.
We encourage stalls to have a bright, festive, clean and interesting appearance.
 
Market Shoppers and festival punters at YWN09 can expect to wander the open air stalls to the soulful sounds of Aboriginal and Torres Straight Islander musicians, delight in the smells and tastes of delicious food stalls and the feels of diverse quality market stalls. In recent years the festival has seen between 7- 10 thousand people pass through O’Donnell gardens on festival main day.

STALL FEES:

The licensee is required to pay the prescribed fee for the stall occupied.
Parking & Shade Hire Packages are available, weights are required and are the sole responsibility of the stallholder.
No pegs will be allowed to secure stalls at the market place. (Please use 10 or 20 litre water bottles or 10 – 20 kg sand bags)
All market stalls have to supply a copy of Public Liability in order to trade on the day.

Stall, shade and parking fees are non refundable and must be made by Friday 28 November 2008.
A 10% Discount on Stall & Shade Hire Fees will apply if paid in full by Friday 28 November 2008.
10% Discount does not apply to parking fees.
Market Stall holders need to provide their own chairs and tables and can not be supplied by the festival.
 
A tax receipt will be sent when the approved market stall application, signed agreement and payment have been received.
 
Community organisations not selling items and purely supplying information for the purposes of health and wellbeing will be supplied with a space in the community information area.
A 1.5m frontage table space will be provided but chairs will not. (please remember to bring your own chairs)
Two community organisations will be allocated per 3m x3m shade.
Please fill in all application details including requested package section.
A copy of your Public Liability will needed.
 
YWN09 Stalls are neither transferable nor may they be sub-let unless YWN09 Festival Management has approved the potential vendor.
 

ELECTRICITY, WATER & LIGHTING:

Electricity and water will only be provided to food vendor’s as there is a limited supply.
Lighting of your stall is required and the sole responsibility of you the stallholder.
 

TRADING HOURS & SITE ACCESS:

Trading Hours for general stallholders are as follows:
12pm to 10pm
Saturday 31 January 2009
 
Vehicles will only be permitted on site for the purposes of setting up and packing down within the time periods set out in the YWN09 Market Stall Bump In/Out Schedule.
Bump In/Out Schedules will be provided to successful applicants.
These times will be enforced for safety reasons.
If for any reason the vendor should require more time to set up or pack down, they must do so using trolleys with their vehicle off site or parked in the pre-paid allocated car park so as not to block other elements of the event.
 

CAR PARKING:

You are not permitted to park in any part of the festival precinct.
Parking in the car park within the precinct will only be permitted to vehicles that have pre purchased spaces and that have allocated car parks that correspond with their vehicle registration.
There is one pre-purchased car space per market stall application.
 
On street parking is heavily policed in the area and parking restrictions apply in the streets surrounding the YWN09 festival precinct.
 

STALL SET-UP REQUIREMENTS & STANDARDS:

Stallholders must comply with the set-up requirements and standards set out by YWN09 market stalls team and festival management.
Your wishes will be taken into consideration, however stalls will be allocated by the YWN09 market stalls team to ensure a good quality, diverse, friendly and atmospheric market place.
 
All Details Requested are essential for this application to be considered.
 

WET WEATHER POLICY:

The festival is subject to change and dependant on the weather.
All efforts will be made to inform the stall holder of any cancellations or alterations to the festival program within a reasonable timeframe.
 
If the festival is cancelled 75% of the Stall Holders payment will be refunded to them within 30 days.
 
The gardens are used 365 days of the year.
We need to leave them in the same condition.
 
 

STALL PAYMENTS/CHECKLIST

Do not send stall Payments until application has been approved, you will be notified of approved applications within 7 days after the application due date Friday 14 November 2008.
To ensure your allocated location, payments must be received before Friday 28 November 2008.
Late payments will not be accepted and unallocated locations will be given to stall holders on our waiting list.

 

Cheques or Money orders can be made payable to "The City of Port Phillip"

Check List:
- Completed application form.
- Copy Photo Identification
- Photograph of Stall Set Up Including Signage – ( Optional - this can be emailed as a jpeg once application has been accepted)
- Proof of Public Liability Insurance
- Agreement and Indemnity form signed

Please Note:

- Use of amplifiers or loud speakers, including cassette players by stallholders is prohibited.
- The City of Port Phillip retain the right to enter upon the site of any exhibitor at any time and remove any article, sign, picture or printed matter which in our opinion is either not eligible for display or considered offensive. (Eg. plastic toys, glowie products or illegal products.)
- All leads must have a current electrical test tag.
- Stalls cannot be sublet under any circumstances unless with written permission from The City of Port Phillip.
- There is no access for vehicles to enter O’Donnell Gardens once the event has commenced.
- Completion of the application does not ensure the applicant a position at the market. Successful applicants will be contacted via e-mail to the address provided by you.
